Creating Return Tickets from Job Resources

Field technicians can generate a return ticket directly from the Job Resources view on their mobile device. By selecting one or more on-site resources and triggering the return workflow, the mobile app automatically populates the selected items as return ticket line items, eliminating manual re-entry and cross-screen navigation.

Overview

When work on a job site concludes or specific tools, rental equipment, or excess bulk consumables need to be demobilized, you can initiate the return process directly from the job’s resource inventory.

FieldFX Mobile supports:

  • Creating a brand-new return ticket with selected on-site resources.

  • Adding selected on-site resources to an existing open return ticket.

  • Immediate local status and on-site quantity updates, even while operating offline.

Only tangible, returnable resources (such as serialized equipment, serialized assets, and consumable materials) can be added to return tickets. Intangible resources such as Labor and Service items cannot be returned.

Prerequisites

Before creating a return ticket from Job Resources, ensure:

  • The parent Job is open and accessible on your mobile device.

  • The resources to be returned have a status of On Site with an On Site Qty greater than zero.

  • Your mobile user profile and sync configuration grant permissions to create and edit tickets and ticket items.

Step-by-Step

  • Ensure that you have the necessary permissions and that the job and resources meet the prerequisites before proceeding with the return ticket creation.

  • If Admin Setup or configuration changes affect returnable resources, ensure that the mobile app is synced to reflect the latest settings before creating return tickets. An admin needs to configure specific mobile sync rules, layout assignments, or custom action visibility in the Back Office to enable the button.

  • If your org uses downstream ticket processing or approval workflows, return tickets can be generated by mobile users directly from the on-site Job Resources view, which will appear in the Back Office after synchronization.

Follow these steps to return job resources from the mobile app:

  1. From the main menu or jobs list, open the target Job.

  2. Navigate to the Job Resources tab or view.

The screen displays the current list of resources allocated to the job, along with their status (On Site, In Transit, Returned).

  3. In the On Site resource list, select the checkbox next to each resource you want to return.

You can select multiple items across different equipment or consumable categories to batch them onto a single return ticket.

  4. Tap Create Return Ticket

  5. Depending on whether prior return tickets exist for this job, choose your destination ticket:

    Scenario Action

    No existing return tickets

The app automatically opens the New Return Ticket creation form

    Existing return tickets found

A selection prompt displays with two options:

    • Create New Return Ticket: Tap to generate a new, separate return ticket header

    • Add to Existing Ticket: Tap to select an active return ticket from the list of existing tickets on the job

  6. Review the ticket header fields (such as Ticket Date, Office, or Destination Warehouse/Yard) and update any required attributes.

  7. Tap Save or Done.

FieldFX Mobile automatically creates Return Ticket Items (RTIs) corresponding to each selected resource and displays a confirmation message.

  8. Verify the updated records:

    • The selected resources' Status transitions from On Site to In Transit (or updates To Be Returned Qty based on your configuration)

    • The Job Resources list dynamically refreshes, leaving only active, remaining on-site items and non-returnable records (e.g., Labor/Services)

    • The new or updated ticket is visible under the job’s Tickets tab

Validation Rules and Edge Cases

Scenario / Condition Expected Behavior & Handling

Selecting Non-Returnable Items

If a selected item is marked as non-returnable (such as Labor or Service items), the app displays a validation alert: "Labor and Service items cannot be returned." Deselect the item to proceed.

Selecting Items Already in Transit

Resources currently marked as In Transit cannot be selected for another return transaction while an existing transfer or return process is still in progress. Complete the current workflow before creating a new return ticket.

Canceling Mid-Process

If you dismiss the dialog or tap Cancel before saving the ticket, no ticket or line items are created, and all job resource quantities and statuses remain unchanged.

Offline Operations

Return tickets and line items are created and validated locally in the offline database. Upon your next sync, the newly created return tickets and status updates sync to the Back Office.
