FieldFX Mobile App Installation & Configuration

If your device meets the requirements, you can configure the app.

Requirements

To successfully run the FieldFX Mobile app, ensure that:

  • Your device meets the hardware and software requirements outlined in System Requirements.

  • You have a mobile user set up with a sync profile that has access to the necessary modules and objects. See Edit Sync Profile for more information on setting up a sync profile.

Select Install to add the FieldFX Mobile App to your device.

Configuration

If the mobile user has been set up correctly, there is no configuration once the app is installed and running.

Sync Functions

The FieldFX Mobile App has been redesigned to emphasize the functionality and less on the syncing of data. The sync functions are still available but the new app uploads every 30 seconds or whenever a user navigates away from an edit screen.

Tap the menu icon and select:

This option is unavailable since the FieldFX Mobile App automatically performs a sync every 30 seconds or when a mobile user navigates away from editing.

Sync Diagnostics

Displays the currently logged in user, any pending changes, any analytics events and sync errors.

If a user’s session has expired, a Sign In button appears on the Sync Diagnostics page. Tap this button to re-authenticate with FieldFX without losing pending changes or requiring a full app restart.

Full Sync Now

This option is unavailable since the FieldFX Mobile App automatically performs a sync every 30 seconds or when a mobile user navigates away from editing.

The View Manifest and View Logs links should only be used at the instruction of support.

Lookup Filtered Picker Dialogs

When a FieldFX Mobile user selects a lookup field on a Job, Ticket, or other object, the app displays a filtered picker dialog that shows only the records matching the mobile filter rules configured in the Admin Portal.

Lookup filtered picker dialogs improve user efficiency by presenting only relevant lookup options based on filter criteria. Rather than scrolling through thousands of records, mobile users see a curated list of records they can actually select from for that specific field.

Key Characteristics:

  • Filters are applied automatically when the user taps a lookup field

  • Only records meeting the filter criteria are displayed

  • Users can search within the filtered results

  • Sync rules determine which records are available on the device to display

Filter Application Process

When a mobile user taps a lookup field:

  1. The FieldFX Mobile App evaluates the mobile filter rules defined for that field in the Admin Portal.

  2. The filter logic determines which records meet the criteria.

  3. Only matching records display in the picker dialog.

  4. If no filter is defined for the field, all records the user has sync access to are shown.

Lookup filtering depends on two factors:
  • Mobile Filters: Rules configured in the Admin Portal Mobile Tools section that determine which records to show for a specific lookup field

  • Sync Rules: Data synchronization rules that control which records sync to the user’s device. If a record doesn’t sync, it cannot appear in the lookup, even if it matches the filter criteria.

Both conditions must be met for a record to be available in the picker dialog.

Searching and Refining Selections

Mobile users can search within the filtered picker dialog to quickly locate the record they need.

Search Behavior:
  • Tap the search field at the top of the picker dialog

  • Type to search across the available columns

  • Search results are further filtered to show only matching records that also meet the mobile filter criteria

  • The search layout is determined by the lookup field’s search layout in Salesforce

Configuration Impact on Display

The display and behavior of lookup filtered picker dialogs are influenced by several configuration settings:

Mobile Filters Configuration

Mobile Filters are configured in the Admin Portal:

  1. Navigate to Mobile Tools > Mobile Filters.

  2. Select the object containing the lookup field.

  3. Define filter criteria to specify which records display in the mobile app.

  4. Use boolean logic to combine multiple filter conditions.

Lookup Field Configuration

The lookup field’s configuration in Salesforce affects how the picker displays:

  • Field Label: The label shown at the top of the picker dialog

  • Related Object: The object type filtered records come from

  • Search Layout: Determines which columns appear in search results

  • Lookup Filter: Optional Salesforce lookup filter (separate from FieldFX Mobile Filters)

Sync Profile Configuration

The sync profile determines data availability:

  1. Records included in the sync profile can appear in the picker.

  2. Records excluded from the sync profile never appear, regardless of mobile filter rules.

  3. Field-level sync settings also impact lookup data availability.

User Experience Scenarios

Empty Results

If a lookup field shows no records in the picker dialog:

  • Verify the mobile filter is correctly configured

  • Confirm the lookup field object is included in the user’s sync profile

  • Ensure at least one record matches the filter criteria

  • Check that records are synced to the user’s device

Showing All Records

If a lookup field displays all available records without filtering:

  • No mobile filter is defined for that field, so all synced records display

  • To restrict the display, configure a mobile filter for the field in the Admin Portal

  • Verify the mobile filter is correctly assigned to the object and field

Limitations and Considerations

  • Large Record Sets: If a filtered result includes more than the sync limit allows, the picker displays available synced records only

  • Real-Time Data: The picker shows records cached on the device; it does not refresh from the server during selection

  • Filter Complexity: Mobile Filters support standard filter operators; custom field-level logic may require field dependencies or validation rules instead

  • Picklist vs. Lookup: This dialog applies to lookup fields only; picklist fields have different selection mechanisms

Best Practices

For System Administrators:
  • Define mobile filters for commonly-selected lookup fields to reduce user confusion

  • Test filters in the mobile app to ensure they display expected records

  • Document filter logic for field owners and support staff

  • Review sync profiles to ensure users have access to the lookup records they need

For Mobile Users:
  • Use the search feature to quickly find records in large filtered lists

  • Contact your system administrator if a record you expect to see is missing

  • Remember that lookup data on the device may not match real-time back-office data until the next sync
