Step-by-Step Guides

You can add or archive a Price Book. Plus, you can add a Price Book Assignment.

Add a Price Book

  1. Access FieldFX Back Office.

  2. Switch to Salesforce Classic.

  3. Add a price book:

    1. Open the Price Books tab.

      Open the Price Books tab that uses the following icon:

    2. Click New.

    3. Select either --Master-- or Template for the Price Book’s Record Type.

      The Template record type is for Price Books that only used as a template and never used to price a job, ticket, quote, invoice, etc.
    4. Click Continue and make the following entries:

      Price Book Name

      Enter a name for the price book.

      Effective Date

      Select the date from which to start using the price book.

      Account

      Select a customer if you only want that customer to use the price book.

      Honor Sequence Number checkbox

      Select to sort price book items by their assigned sequence number.

      If you deselect Honor Sequence Number, price book items sort in chronological order by the date/time you added them.

      Refer to the Sequence Numbers article for more information.

      Office

      Select an office if you only want that office to use the price book.

      Segment

      Select a business segment if you only want that segment to use the price book.

      Global Price Book checkbox

      Select to make the price book available for every customer, office, and business segment.

      You need to install the FX5AltSync package to use this setting on Sync 4.0.

      Expiration Date

      Select the date on which to stop using the price book.

      You can’t select the price book for new jobs after this date.

      However, you can still add items from the price book to existing tickets.

      Surcharge Rate Env

      Enter the percentage of sales price to apply as a surcharge for environmental cleanup costs.

      To apply the surcharge on a price book item, select Surcharge Env for the price book item.

      Surcharge Rate Fuel

      Enter the percentage of sales price to apply as a surcharge for fuel costs.

      To apply the surcharge on a price book item, select Surcharge Fuel for the price book item.

  4. Click Save.

  5. Add price book items.

  6. Configure sharing settings to grant access to the price book.

  7. If you also use FX CPQ, you can also add the price book to a hierarchy.

Archive a Price Book

If you are going to stop using a price book, you can archive it. You have the flexibility to use the price book again in the future.

  1. Access FieldFX Back Office.

  2. Open the Price Books tab.

    Open the Price Books tab that uses the following icon:

  3. Open the price book.

  4. Click Edit.

  5. Select Archived.

    If Archived doesn’t display, add it to the Price Book page layouts.

  6. Click Save.

    The following rules now apply:

Add a Price Book Assignment

If a field user has access to a Job, FieldFX automatically assigns the job’s price book to the user with no additional action needed.

For example, when a field user has a sync configuration record that grants them access to a job, a FieldFX trigger also automatically assigns the price book to the user.

Price Books marked as Global Price Books are always available to all users.

If a user needs access to any additional price books that are not already assigned to them automatically or as a global price book, you can create a manual price book assignment using the steps below.

The Sync v4 Config custom setting must be enabled.
  1. Access FieldFX Back Office.

  2. Open the Price Books tab.

    Open the Price Books tab that uses the following icon:

  3. Open the price book.

  4. Under Price Book Assignments, click New Price Book Assignment.

  5. In Price Book Assignment Name, enter the user’s full name.

  6. In Contact, select the user’s contact record.

  7. Click Save.
