Picklist Setup

Prerequisites

To set up and use picklists and dependent picklists, you need:

  • Minimum permissions for the FieldFX modules you are using

  • System permissions:

    • Customize Application

    • View Setup and Configuration

In FieldFX Mobile, you must use one of the following release channels:

  • Sync V4 Beta

  • Sync V4

  • V4 Quarterly Beta

  • V4 Quarterly

Picklists Best Practices

Don’t use tab spaces to separate words in picklist values. Instead, always use a single character space.

Set the default value for a picklist by selecting a default value for each record type.

You can do the following:

With Picklists With Dependent Picklists

Picklists are fields where you can select from a list of values.

Depending on the type of picklist, you can select a single value or multiple values.

A dependent picklist displays available values based on the value selected in another picklist.

You can also configure dependent picklists to display different available values for each record type.

Add a Dependent Picklist

  1. Access FieldFX Back Office.

  2. Switch to Salesforce Classic.

  3. Open the Settings page for the object.

  4. Under Custom Fields & Relationships, click Field Dependencies.

  5. Click New.

  6. In Controlling Field, select the picklist to control the values in the dependent picklist.

  7. In Dependent Field, select the picklist to make dependent on the controlling picklist.

  8. Click Continue.

  9. Use the field dependency matrix to set the values available in the dependent picklist when you select each value in the controlling picklist.

  10. Click Save.

Add a Picklist

  1. Access FieldFX Back Office.

  2. Switch to Salesforce Classic.

  3. Open the Settings page for the object.

  4. Complete the following:

    1. Under Custom Fields & Relationships, click New.

    2. Select Picklist.

    3. Click Next.

    4. In Field Label, enter a name for the picklist.

      Never give a picklist the same name as a managed field on a FieldFX object.

    5. Select Enter values, with each value separated by a new line.

    6. Enter picklist values.

    7. Click Next.

    8. Click Visible twice.

    9. Click Next.

    10. Select the page layouts on which to include the picklist.

    11. Click Save.

  5. Grant permissions for the picklist.

Filter Picklist Values by Record Type

  1. Access FieldFX Back Office.

  2. Switch to Salesforce Classic.

  3. Open the Settings page for the object.

  4. Filter the picklist values for a record type:

    1. Click the record type name.

    2. Click Edit next to the picklist.

    3. Adjust the Selected Values to display relevant values only.

    4. Click Save.

  5. Repeat these steps for every record type.

Replace Picklist Values

  1. Open your email app.

  2. Access FieldFX Back Office.

  3. Switch to Salesforce Classic.

  4. Open the Settings page for the object.

  5. Specify the values to replace:

    Blank Values Specific Values
    1. Select Replace all blank values.

    2. In Select Value Changing To, select the replacement value.

    3. Click Save.

    1. In Exact Value Changing From, enter the value to replace.

    2. In Select Value Changing To, select the replacement value.

    3. Click Replace.

You will receive an email confirmation once the replacement is complete.

Set Available Values for a Record Type

  1. Access FieldFX Back Office.

  2. Switch to Salesforce Classic.

  3. Open the Settings page for the object.

  4. Under Record Types, click the record type name.

  5. Under Picklists Available for Editing, click Edit next to the picklist.

  6. Adjust the Selected Values for the picklist.

  7. Click Save.

Set Default Picklist Values by Record Type

  1. Access FieldFX Back Office

  2. Switch to Salesforce Classic.

  3. Open the Settings page for the object.

  4. Select the default value for a record type:

    1. Click the record type name.

    2. Click Edit next to the picklist.

    3. In Default, select the default value.

    4. Click Save.

  5. Repeat these steps for every record type.
