Invoice Item Builder

Prerequisites

Basics

The Invoice Item Builder is an invoice management tool in FieldFX Back Office.

Use the Invoice Item Builder to:

Getting There

Open an invoice in FieldFX Back Office and click Invoice Item Builder.

You must switch to Salesforce Classic to use the Invoice Item Builder.

Invoice Details

The Invoice Details section displays basic invoice information.

Search Filters

Use the Search Filters to filter the invoice items shown in the Item grid.

The Search option can be hidden with FX Settings and may not available.

Item Grid

Basics

The Item grid displays the invoice items on the invoice.

Use the Item grid to add, edit, or delete invoice items.

Parent & Child Items

Child items display indented under their parent item.

The ability to select children can be hidden with FX Settings and may not available.

Bulk Update

Use the Bulk Update feature to edit multiple invoice items at once.

To use this feature, select invoice items and click Bulk Update underneath the Item grid.

The Bulk Update button can be hidden with FX Settings and may not available.

Item Picker

Basics

Use the Item picker to:

Available Items Mode

Basics

Use Available Items mode to:

To switch to this mode, click Available Items on the Item picker.

Available Tickets Tab

Use the Available Tickets tab to add ticket items to an invoice.

You can add ticket items from any ticket on the customer’s jobs.

Price Book Items Tab

Use the Price Book Items tab to add price book items to an invoice.

You can add price book items from any price book to the invoice.

Selected Tickets Mode

Basics

Use Selected Tickets mode to:

To switch to this mode, click Selected Tickets on the Item picker.

Selected Tickets

The Selected Tickets section displays the ticket items on an invoice.

I displays next to ticket items already on the invoice.

A checkbox displays next to uninvoiced ticket items. Select an uninvoiced item and click Add Selected to add it to the invoice.

Step-by-Step Guides

Opening the Invoice Item Builder

  1. Access FieldFX Back Office

  2. Switch to Salesforce Classic

  3. Open the Invoices tab

  4. Open an invoice

  5. Click Invoice Item Builder

Adding Ticket Items to an Invoice

  1. Open the Invoice Item Builder

  2. Click Expand on the right side of the page

  3. Click Available Items on the Item picker

  4. Open the Available Tickets tab

  5. Select filters to locate the ticket items

  6. Click Search

  7. Select the ticket items to invoice

  8. Click Add Selected

    Child items get added automatically when you add their parent item.

  1. Open the Invoice Item Builder

  2. Click Expand on the right side of the page

  5. Select filters to locate the price book items

  6. Click Search

  7. Select the price book items to add

  8. Click Add Selected

    Child items get added automatically when you add their parent item.

  9. Click Close on the left side of the Available Items picker

Adding Child Invoice Items

Prerequisite

Designate dynamic parent items.

  1. Open the Invoice Item Builder

  2. Move down to the Item grid

  3. Select Add Child Items next to a dynamic parent item

  4. Select child items

  5. Click Add Selected

    The child items display indented under their parent item.

  6. Click Close on the left side of the Available Items picker

    Add Child Items mode is now disabled.

Editing an Invoice Item

  1. Open the Invoice Item Builder

  2. Move down to the Item grid

  3. Click the arrow next to the item

  4. Click Edit

  5. Make edits

    • You can’t edit the discount for items that have Locked Discount selected.

    • You can’t edit the price for items that have Locked Price/Markup selected.

  6. Click Save

Editing Multiple Invoice Items

  1. Open the Invoice Item Builder

  2. Move down to the Item grid

  3. Select items

  4. Click Bulk Update

  5. Make edits on the Updated Selected Items panel

    • You can’t edit the discount for items that have Locked Discount selected.

    • You can’t edit the price for items that have Locked Price/Markup selected.

  6. Click Update

Deleting Invoice Items

  1. Open the Invoice Item Builder

  2. Move down to the Item grid

  3. Select items

    Child items get deleted automatically when you delete their parent item.

  4. Click Delete Selected

  5. Click OK
