Prerequisites

  • To use FX DataGuide, the org must have an FX DataGuide license and have set up ServiceMax DataGuide

  • The user must have the DataGuide minimum permissions to use DataGuide to add and complete forms

Introduction

  • FX DataGuide is a tool to create forms, surveys, and questionnaires for users to complete.

  • Forms can be connected to a particular job or ticket, or they may be independent forms not connected to a particular record.

Basics

  • Use the DataGuide page to add and update DataGuide forms in FieldFX Mobile.

  • Form data for In Progress and Completed forms sync to FieldFX Back Office automatically as entries are made to the form as long as a data connection is available.

  • If a data connection is not available, form data is stored on the device and syncs to FieldFX Back Office automatically when a data connection is available or during the device’s next sync.

Getting There

How you get to DataGuide impacts the forms that display once you are there.

  • Select the DataGuide tab on the left menu.

    From the Home page:

  • The forms that display or are available to add vary based on where the user accesses the DataGuide tab:

    • From the Home Page sync screen, Independent type forms not linked to a Job or Ticket display

    • From the Job Listing screen, Independent type forms not linked to a Job or Ticket display

    • From the Job Detail screen, Job type forms linked to the current Job display

    • From the Ticket Listing screen, Independent type forms not linked to a Job or Ticket display

    • From the Ticket Detail screen, Ticket type forms linked to the current Ticket display

Breadcrumbs

The DataGuide breadcrumbs display at the top of the page.

When displaying Independent forms from the Home Screen or a Job or Ticket listing screen:

  • Select FX to open the Home page.

  • Select DataGuide to return to the list of forms not connected to a Job or Ticket

When displaying DataGuide Job forms from a Job detail screen:

  • Select FX to return to the Home page

  • Select Jobs to return to the Job listing screen

  • Select the Job identifier to return to the Job detail screen

  • Select DataGuide to return to the list of forms for the Job

Step by Step

Add a Form to a Job or Ticket

  1. Access the Job or Ticket that needs the form

  2. From the Job or Ticket’s detail screen, tap the DataGuide tab on the left menu

  3. Tap the plus button in the bottom corner of the screen to add a form

    If the button doesn’t display, you do not have the ability to add a form to the record. Contact your System Administrator for assistance.

  4. Tap the form to add

    Use the search bar at the top of the screen to filter the list if there are many forms.

    Only forms to which you have access and that also apply to the selected Job or Ticket display.

  5. Fill out the form

    Required fields are marked with an asterisk (*).

    Forms can vary widely:

    • Some have few fields, others may be more comprehensive

    • Some forms may have multiple pages

    • Some may provide for places for you to insert images

    Forms may change as you complete fields based on the entries you make.

  6. Entries record as you make them; there is no save button

  7. Tap one of the options in the breadcrumbs at the top of the screen to save your entries and exit the form

  8. When the form is finished and ready to submit, scroll to the bottom of the form and tap the Complete button

    Completed forms cannot be modified.

Add a Form not Tied to a Job or Ticket

  1. From the Sync screen, tap the DataGuide tab on the left menu

  2. Tap the plus button in the bottom corner of the screen to add a form

    If the button doesn’t display, you do not have the ability to add a form to the record. Contact your System Administrator for assistance.

  3. Tap the form to add

    Use the search bar at the top of the screen to filter the list if there are many forms.

    Only forms to which you have access and that also apply to the selected Job or Ticket display.

  4. Fill out the form

    Required fields are marked with an asterisk (*).

    Forms can vary widely:

Modify an In-Progress Form

  1. Navigate to the Job or Ticket the form is for, then tap the DataGuide tab on the left menu

    or

    For a form that is not tied to a Job or Ticket, tap on the FX logo to return to the Home Page sync screen, then tap the DataGuide tab on the left menu

  2. From the list, select the form to return to

    Forms that can be modified do not have a checkmark in the Is Completed field.

    Don’t see the form? Verify that you accessed the correct record for the form.

    If the form is not for a record, make sure you entered DataGuide from the Home Page Sync screen.

  3. Make changes to the form

    Entries save automatically as you make them.

  4. Tap a breadcrumb at the top of the screen to exit the form without completing it

    or

    Tap the Complete button at the bottom of the form to finish the form.

    Completed forms cannot be modified.

View Entries for a Completed Form

  1. Navigate to the Job or Ticket the form is for, then tap the DataGuide tab on the left menu

    or

    For a form that is not tied to a Job or Ticket, tap on the FX logo to return to the Home Page sync screen, then tap the DataGuide tab on the left menu

  2. From the list, select the form to display

    Forms that have been finished have a checkmark in the Is Completed field.

    Don’t see the form? Verify that you accessed the correct record for the form.

    If the form is not for a record, make sure you entered DataGuide from the Home Page Sync screen.

  3. View the form

  4. Tap a breadcrumb at the top of the screen to exit the form

Print a Form

  • Users can print a form that is either In Progress or Completed status if it exists on the device.

  • While viewing the form, select the Printer icon in the lower right of the screen.

  • FX DataGuide generates a PDF version of the form.

  • The PDF downloads to the device and the user can access the device’s normal print prompts to print the form.

  • The resulting file can also be shared using other methods available on the device, such as an AirDrop on an Apple device.

  • iOS/iPadOS users not using the FieldFX Mobile Pro app to access FieldFX Mobile must disable popup blockers to print forms.

  • Android users not using the FieldFX Mobile Pro app to access FieldFX Mobile must manually open the file after it downloads.
